Terms and Conditions for Maths Academy Coaching Institute

1. Enrollment & Admission

  • Enrollment is confirmed only after submission of the completed registration form and payment of the prescribed fees.
  • Admission is granted on a first-come, first-served basis, subject to seat availability and suitability for the student’s academic level.
  • We reserve the right to conduct a basic assessment to determine appropriate batch placement.
  • False or incomplete information in the registration form may lead to cancellation of admission.

2. Fees & Payment

  • Fees are payable in advance for the entire term (monthly/quarterly/half-yearly) as communicated at the time of admission.
  • Payment modes accepted: Cash (receipt provided), Bank Transfer, UPI, or online payment gateway (if available).
  • A late fee of [Insert Amount] per week will be charged for payments delayed beyond the due date.
  • If fees remain unpaid for more than [Insert Number, e.g., 30] days, the student’s enrollment will be suspended until full payment is made.
  • Fees once paid are non-refundable and non-transferable (except in case of course cancellation by the Institute – see Clause 6).

3. Attendance & Punctuality

  • Regular attendance is mandatory for academic progress. Students are expected to arrive on time.
  • If a student is absent, parents should inform the Institute via call or message before the class starts.
  • The Institute is not obligated to provide extra classes for missed sessions, though reasonable catch‑up help may be offered at the teacher’s discretion.
  • Students who miss more than [Insert Number, e.g., 25%] of classes in a term may be asked to repeat the term or lose eligibility for progress certificates.

4. Behaviour & Code of Conduct

  • Students must behave respectfully towards teachers, staff, and fellow students.
  • Use of mobile phones during class is prohibited (unless explicitly allowed for an academic purpose).
  • Bullying, cheating, abusive language, or any disruptive behavior will result in:
    • First offense: Verbal warning & parent notification.
    • Second offense: Written warning and temporary suspension.
    • Third offense: Permanent expulsion with no fee refund.
  • Damage to Institute property (furniture, electronics, teaching aids) will be charged to the parent/guardian at full replacement cost.

5. Academic Policies

  • Homework and assignments must be submitted on time. Repeated non‑submission may result in lower progress grades or parent consultation.
  • Tests and examinations are conducted periodically. Students are expected to take all tests unless a medical certificate or prior permission is provided.
  • Progress reports will be shared with parents every [month / two months]. Parents may request a one‑on‑one meeting with the teacher by prior appointment.
  • The Institute reserves the right to adjust batch timings, teachers, or syllabus structure for operational or pedagogical reasons. Parents will be informed in advance whenever possible.

6. Cancellation & Refund

  • By Parent/Student: If you wish to withdraw your child, you must provide a written notice of [Insert Number, e.g., 30] days. Fees for the notice period are payable in full. No refund is given for unused classes after withdrawal.
  • By Institute: If the Institute cancels a course due to insufficient enrollment or unforeseen circumstances, a prorated refund for remaining classes will be issued within 15 days.
  • No refunds will be given for:
    • Student expulsion due to misconduct.
    • Strike, lockdown, or natural calamity (classes may be shifted online; no fee reduction).
    • Illness or personal reasons (except at management’s sole discretion).

7. Holidays & Breaks

  • The Institute follows the academic calendar provided at the start of each session. Holidays (national, regional, and planned breaks) are notified in advance.
  • No classes will be held on declared public holidays. There will be no fee concession or extra classes for such holidays unless explicitly promised.

8. Parental Responsibility

  • Parents must ensure that the student attends classes regularly, completes assignments, and follows the code of conduct.
  • Parents shall promptly inform the Institute of any change in contact details, health conditions, or special learning needs.
  • For students arriving by own transport, the Institute is not responsible for their safety before the scheduled class start time or after the scheduled class end time, unless they are inside the premises under staff supervision.

9. Limitation of Liability

  • Maths Academy, its teachers, and staff shall not be liable for any indirect, incidental, or consequential damages arising from the use of our services, including but not limited to academic outcomes (e.g., exam results, school grades).
  • While we take all reasonable precautions, we are not responsible for loss or damage to personal belongings (bags, stationery, electronics, etc.) brought to the Institute premises.
  • Our total liability for any claim related to our services is limited to the total fees paid by you in the preceding 3 months.

10. Use of Photographs & Testimonials

  • From time to time, we may take photographs or short videos of classroom activities, events, or student achievements for promotional purposes (website, social media, brochures). Parents may opt out in writing at the time of admission.
  • Student marks, performance snippets, or testimonials will be used only with explicit written consent.

11. Force Majeure

The Institute shall not be held liable for failure to perform its obligations if caused by events beyond reasonable control, including but not limited to: natural disasters, pandemics, government orders, power outages, or internet failures. In such cases, classes may be conducted online, postponed, or canceled, and no refunds or compensation will be provided.

12. Modification of Terms

Maths Academy reserves the right to amend these Terms & Conditions at any time. Changes will be communicated via email, WhatsApp, or notice board. Continued enrollment after changes constitutes acceptance of the revised terms.

13. Governing Law & Dispute Resolution

These terms shall be governed by the laws of [Your Country, e.g., India]. Any disputes arising out of or relating to these terms or the services provided shall first be attempted to be resolved amicably between the parties. If no resolution is reached within 15 days, the dispute shall be subject to the exclusive jurisdiction of the courts in [Your City, District].
